Executive Assistant (Mandarin-Speaking)

Job Summary:

The Executive Assistant (Mandarin-Speaking & Interpreter) provides high-level administrative, organizational, and communication support to the Executive Office. This role is responsible for managing complex calendars, coordinating meetings and travel, handling confidential information, and ensuring the efficient day-to-day operations of the executive’s office. A key aspect of this position is the ability to fluently interpret and translate Mandarin to English and vice versa, serving as a vital link in facilitating clear communication between the executive and Chinese-speaking stakeholders. The Executive Assistant also plays a critical role in supporting internal coordination, managing special projects, and ensuring that all engagements are executed with precision, professionalism, and discretion.

Responsibilities:

  1. Mandarin Interpretation & Translation
    Accurate and fluent real-time interpretation during meetings, calls, and presentations; high-quality written translations of contracts, documents, and correspondence between Mandarin and English; culturally appropriate communication support provided to facilitate business understanding.
  2. Executive Office Support & Administration
    Efficient and accurate management of the executive’s calendar, meetings, and travel arrangements; minimal scheduling conflicts; all key engagements attended and properly coordinated.

  3. Communication & Correspondence
    High-quality and professional internal and external communications; timely and appropriate response to inquiries; accurate, confidential handling of sensitive documents and follow-through on meetings, guests, and key initiatives.

  4. Team Supervision & Coordination
    Effective coordination and oversight of support staff; timely delegation and completion of tasks; promotion of collaboration and a cohesive work environment within the executive office team.

  5. Special Projects & Executive Initiatives
    Timely and quality completion of special projects and executive-level tasks; progress and outcomes clearly tracked and documented; initiatives aligned with organizational goals.

  6. Confidentiality & Discretion
    Strict adherence to confidentiality protocols; secure handling of sensitive and executive-level information; zero incidents of data or information breach.

  7. Meeting & Event Coordination
    Well-organized and professionally executed meetings and corporate events; clear documentation and minutes; seamless coordination of logistics, venues, and participants with minimal issues.

 

Qualifications:

Education:

  • Bachelor’s degree in Business Administration, Office Management, Communications, Foreign Languages, or a related field

  • Additional training or certification in secretarial, executive support, or language interpretation is a plus

Work Experience:

  • At least 3–5 years of experience in an executive assistant or administrative support role, preferably supporting senior-level executives

  • Prior experience in interpretation and translation, especially in a corporate or business environment

  • Experience in handling confidential matters and managing complex schedules and logistics

Language Proficiency:

  • Fluent in both spoken and written Mandarin and English

  • Strong skills in interpretation and document translation

  • Knowledge of Chinese business etiquette and communication protocols is an advantage

Technical Skills:

  • Proficient in Google Workspace,  Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Familiarity with digital scheduling tools, video conferencing platforms (e.g., Zoom, MS Teams), and document management systems

  • Typing speed and accuracy; excellent written business communication skills
