Document Controller
SPECIFIC DUTIES AND RESPONSIBILITIES
Obligations and Contracts
- Assist the Compliance Team Leader in facilitating the contracts.
- Monitor the contracts.
Legal Services
- Lead the notarization of legal documents.
Corporate Books and Records Management
- Facilitate Corporate updates and filings with the government agencies and regulatory bodies.
Corporate Library
- Documents scanning, filing, monitoring, and releasing upon approval of the Compliance Specialist II.
- Organize and ensure proper labeling of documents.
- Ensure that sensitive and confidential documents are protected and stored securely
- Apply library science principles such as classification, tagging, and indexing of documents for easy retrieval.
- Track document revisions, ensuring the most up-to-date version of each document is available and distributed.
- Preparation of the monthly Corporate Library Summary.
Regulatory Support and Governance
Provide support to the Compliance Specialist II, ensuring the Corporation meets all the requirements mandated by relevant regulatory bodies, specifically in the following areas of compliance:
- Primary Regulatory Compliance
- Secondary Regulatory Compliance
- Financial Compliance
- Permits and Licenses
LCO Compliances
- Attend trainings and seminars
- Assist in preparing the regulatory compliance report submission to the relevant government agencies
Supplies, Funds & Tools
- Support the preparation of monthly office supplies
- Request for branded corporate materials when needed
- Request for transportation funds
- Request for representation fund
QUALIFICATIONS:
– Bachelor’s degree in Library Science, Information Management, Records Management, Business Administration, or a related field.
– 1-2 years of exeperience in document control, records management, or a similar role, candidates who have experience in library science or information management preferred.
– Experience working with document management systems and electronic filing systems.
– Proficient in Microsoft Office, especially Word, Excel, and PowerPoint.
– Proficient in setting up document access permissions.

-Willing to travel from different LGUs or Government Agencies.
