Administrative Supervisor
Job Summary:
The Administrative Supervisor is responsible for overseeing the effective delivery of administrative services within the corporate office. This role ensures smooth daily operations, facility upkeep, regulatory compliance, and efficient resource management. The ideal candidate will possess strong organizational, coordination, and leadership skills, with the ability to manage multiple support functions in a fast-paced environment.
Key Responsibilities:
1. Office Administration & Coordination
- Supervise day-to-day administrative operations, ensuring a well-organized and efficient office environment.
- Oversee the work of administrative staff and ensure high standards of service and support.
2. Facility Management
- Ensure the maintenance, cleanliness, and operational functionality of office facilities.
- Coordinate with vendors, contractors, and building management for repairs, utilities, and improvements.
3. Environment, Health & Safety (EHS)
- Implement and monitor workplace safety protocols in compliance with EHS standards and company policies.
- Conduct routine checks to identify and mitigate safety risks.
4. Regulatory Compliance – Permits & Licenses
- Ensure timely processing, renewal, and tracking of all business permits, licenses, and regulatory documents.
- Liaise with relevant government agencies and departments as needed.
5. Asset & Inventory Management
- Maintain accurate records of office assets, including tagging, tracking, and reporting.
- Ensure proper utilization and accountability of office equipment and furnishings.
6. Supplies, Funds & Tools Oversight
- Manage procurement, inventory, and distribution of office supplies and work tools.
- Monitor and reconcile petty cash and expense records in accordance with company policy.
Qualifications & Skills:
- Bachelor’s degree in Business Administration, Office Management, or a related field.
- Minimum 2–3 years of experience in administrative supervision or similar roles.
- Strong leadership, organizational, and problem-solving skills.
- Preferable has Safety Certification.
- Knowledge of EHS protocols and facility management is an advantage.
- Proficiency in office software and systems (Google Workspace, MS Office, etc.).
- Excellent communication and interpersonal skills.
- Ability to prioritize tasks, manage time effectively, and work with minimal supervision.
