Administrative Specialist

Job Overview

We are seeking a reliable and proactive Administrative Specialist to support daily office operations and ensure the smooth functioning of our administrative tasks. The ideal candidate is organized, detail-oriented, and capable of handling multiple responsibilities while maintaining a high level of professionalism.

Key ResponsibilitiesAdministrative Support

  • Manage schedules, appointments, and meetings.
  • Prepare reports, correspondence, and presentations.
  • Maintain filing systems and organize documentation.
  • Take minutes during meetings and monitor action items.
  • Handle routing of paperwork and office requests.

Office Management

  • Order and manage office supplies and equipment inventory.
  • Ensure the office space is clean, organized, and fully operational.
  • Coordinate with vendors and facility service providers as needed.

Communication & Coordination

  • Act as a point of contact between departments and external partners.
  • Distribute information via email, SMS, WhatsApp, or internal memos.
  • Handle incoming calls, emails, and inquiries professionally.

Record Keeping

  • Maintain employee and vendor databases.
  • Ensure accuracy and confidentiality of all records, including login credentials.

Qualifications

  • College graduate; background in Office Administration or relevant degree.
  • Experience as an Admin in the following Sectors: Finance, Manufacturing, Production, Energy, Logistics or Hospitality is a plus.
  • Internship or part-time work experience in a corporate environment is a plus.
  • Strong verbal and written communication skills.
  • Detail-oriented with excellent organizational and multitasking abilities.
  • Proficient in Google Workspace (Docs, Sheets, Slides) and Microsoft Office (Word, Excel, PowerPoint).
