Administrative Specialist / Assistant

Job Summary:

We are looking for a highly organized and proactive Administrative Specialist / Assistant to provide supports to the Business Development team. This role requires excellent multitasking skills, strong attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate will enhance executive productivity by managing schedules, coordinating meetings, and ensuring seamless office operations.


Key Responsibilities:

1. Executive Support

  • Manage executive calendars, schedule meetings, and coordinate appointments.
  • Prepare reports, presentations, and documents for executive review.
  • Act as a point of contact between executives and internal/external stakeholders.
  • Handle confidential information with professionalism and discretion.

2. Administrative Management

  • Maintain records, files, and correspondence in an organized manner.
  • Process invoices, expense reports, and other administrative documents.
  • Ensure office supplies are stocked and available as needed.
  • Assist with office organization and process improvement initiatives.

3. Communication & Coordination

  • Draft and proofread emails, memos, and official communications.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Organize company meetings, events, and conferences.
  • Support internal communications to ensure smooth workflow.

4. Project & Task Management

  • Assist with special projects as assigned by executives.
  • Conduct research and compile data to support decision-making.
  • Track key action items and ensure follow-ups are completed.

 

Qualifications & Skills:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.
  • Strong verbal and written communication skills.
  • Excellent time management and organizational abilities.
  • High level of professionalism and ability to work independently.
